Online marketing can do wonders for your business, social media and SEO can drive tons of traffic to your website, and if your website is optimised for conversion you can make a ton of sales.

Unfortunately doing all these things takes a lot of time and effort. This is why productivity is very important.  I’m going to give you a couple of productivity secrets tips which really helped me manage my time and projects more efficiently.

Below are five productivity secrets for you and your online marketing team:

Use project management tools

There is nothing worse than not knowing who is doing what and when. Such chaos can cost you time and money. Fortunately, you can bring order to this chaos by using cloud-based project management tools like Trello. This nifty little tool will help you coordinate all your team efforts and tasks in a very simple way.

As you can see from the video, it’s pretty cool and they also have an app version so you can stay productive on the go.

Implement Inbox Zero

I hate email, it destroys productivity,  and if you don’t manage it well it can soon become a nightmare. The most important thing is to check your email at a set time. It can be two or three times a day but whatever you do, don’t let email notifications distract you. Again, it will cost you your precious time. Getting to inbox zero is not easy but there are many guides to get you started.

Keep Your Documents in The Cloud

You should keep the use of email to a minimum, as sending documents back and forth via email is a terrible idea.  Same goes for using your email as cloud storage for your files.

Fortunately, in 2015 we have tools for that and what is even better, the best of them are free. Instead of paying silly money for desktop versions of office programs you can pretty much get a full cloud-based office suite for free. Google docs are one of the most popular and in my opinion the best tool for the job.

It will help you achieve inbox zero and it works with Trello.

Use a colour-coded online calendar

In order to effectively manage each of the teams and the related tasks that need to be completed for the marketing campaign, the organisation is key. 

This is where an online, colour coded calendar can prove invaluable. The colour-coded function allows you to assign colours to different tasks and teams, helping every individual to organise their to-do list.

The online function of this calendar allows for updates to be sent to the entire team.  There are a number of platforms that online colour coded calendars can be used on, the most popular being Share Point 2013.  Others platforms include Google Calendar, Softonic and HyperOffice.

Stay focused on the Pomodoro technique.

The Pomodoro Technique is a simple time management method invented by Francesco Cirillo in the late 1980s. It’s a very simple yet amazingly effective concept. I used to work long hours, struggling to get the stuff done. Discovering Pomodoro changed that and helped me stay focus and actually complete the tasks I’m working on.
